Who we are
Grounded Training Ltd operates stay-grounded.co.uk, serving both organisational clients and individual parents through the NVR Parenting Programme. Our contact email is hello@stay-grounded.co.uk.

What data we collect
We collect information you provide directly to us, including your name, contact details, and any information you choose to share, such as your organisation's name or your child's age, when you submit an enquiry through one of our contact forms. We do not currently use tracking cookies, advertising platforms, or analytics software that stores personal data.
If you join the NVR Parenting Programme, we also collect your mobile number, for the WhatsApp practice group, and your account and message history within the Grounded AI Practice Companion.
How we use your data
We use your contact details solely to respond to your enquiry and, if you become a client or programme participant, to administer your programme, licence, or audit. We do not sell, rent, or share your data with third parties for marketing purposes.
Contact form submissions are processed by Formspree, a third-party form processing service, in order to deliver your enquiry to us by email. Formspree's own privacy policy governs how it handles data in transit.
Third-party processors for the AI Practice Companion: the Companion runs on Supabase (database hosting), Clerk (secure sign-in), Vercel (hosting the interface), and Anthropic (processes the content of your conversations to generate responses). Clerk and Anthropic are US-based; your data is protected there under each provider's own Data Processing Agreement, Standard Contractual Clauses, and, where applicable, its certification under the EU-US Data Privacy Framework.
Data retention
Enquiry data is retained for up to 24 months. Client and programme participant records are retained for 6 years in line with HMRC requirements. WhatsApp group data is retained for the duration of your programme access, then removed from the group.
Access and conversation data for the AI Practice Companion are not the same thing. Your access, the ability to log in and use it, closes 2 weeks after your programme's access period ends. The content of your conversations is retained separately for up to 12 months from each conversation, then automatically deleted. Where a conversation is flagged for a safeguarding concern, it is retained for up to 7 years, in line with child safeguarding records guidance. You may request earlier deletion of your data at any time by emailing hello@stay-grounded.co.uk.
Your rights
Under UK GDPR you have the right to access, correct, or request deletion of your personal data. To exercise any of these rights, contact us at hello@stay-grounded.co.uk. If you have a concern about how we handle your data you may also contact the ICO at ico.org.uk.
Changes to this policy
We may update this policy from time to time. The current version will always be available on this page.
